Get your week back without hiring admin staff
For owner-operated businesses of 2 to 50 people drowning in manual steps. I map your operation in one week and have your first workflow live in two.
$500, credited in full against your first build. No retainer, no lock-in, cancel any time.
See what I buildThe gap between your tools has a cost
It rarely shows up as a line item. It shows up as things that quietly didn't happen.
A lead fills in your form. You see it at 9am. By then they've called two competitors and booked the one who answered first.
An invoice goes out late because sending it is a manual step nobody owns. You find out when the payment doesn't arrive.
Your CRM and your booking system disagree about who your customers are. Both are partly right, so neither can be trusted.
Someone rebuilds the same report by hand, pulling numbers from four places into a spreadsheet that's stale by the time it's read.
What changes
Same business, same tools, same team. The difference is who does the copying.
A Tuesday today
- Overnight enquiries wait in an inbox until someone opens it.
- You re-key the same customer into three systems.
- Invoices go out when somebody remembers.
- The weekly report costs half a day and is stale on arrival.
- Growth means hiring someone to do the copying.
A Tuesday after the build
- Every enquiry gets an answer in under a minute, at any hour.
- A customer is entered once and appears everywhere.
- Invoices raise and chase themselves on their own schedule.
- The report is waiting at 6pm, built from live data.
- Growth means more volume through the same workflows.
What I build
Four kinds of work, all of it in n8n, all of it yours to keep.
No enquiry waits for you to wake up
Every lead answered in under a minute, whatever time it arrives and whichever channel it came through.
- Capture form, call, DM and email into one pipeline
- Reply instantly, then route to the right person
- Follow up until they answer, then stop automatically
- Escalate anything that sits unanswered too long
Get back the day a week the admin eats
The recurring paperwork that generates no revenue when a person does it, and never gets forgotten when a workflow does.
- Raise, send and chase invoices without a reminder
- Run onboarding and offboarding checklists on their own
- Receive scheduled reports built from live data
- Generate and file documents the moment they're needed
Stop refereeing systems that disagree
Two tools holding different versions of the truth, with you in the middle deciding which one to believe.
- Sync CRM, booking, billing and email both ways
- Keep one source of truth, with conflict rules you set
- Deduplicate and clean records on the way through
- Connect anything with an API, plus 400+ ready integrations
Escape per-task billing you can't control
For anyone who has outgrown per-task pricing or hit the ceiling on what a straight-line zap can express.
- Rebuild in n8n with real rules and error handling
- Self-host, so volume stops being a cost problem
- Run both in parallel until you're confident, then cut over
- Usually pay less by the second month
Why me rather than Zapier or Make
You are probably comparing this to a subscription you already pay for. Here is the honest version.
| Consideration | Promontory (n8n) | Zapier | Make |
|---|---|---|---|
| What you pay for | The build, once. Hosting is yours. | Every task, every month, forever | Every operation, every month |
| Cost as volume grows | Flat. Volume is a server question. | Rises with every extra run | Rises with every extra step |
| Complex logic | Rules, exceptions, loops, retries, real code when needed | Mostly linear; little room for exceptions | Good, within their canvas |
| Where customer data sits | Your own server, if you want it there | Their servers | Their servers |
| When it breaks at 2am | Alerting is built in; on a managed plan I get it first | You find out from the customer | You find out from the customer |
| If you stop working with me | You keep everything, documented and running | Stops with the subscription | Stops with the subscription |
| Genuinely better for… | Anything with exceptions, volume or several systems | Simple two-step automations you set up yourself | Visual builders who enjoy building it themselves |
If a two-step Zap is genuinely all you need, I will tell you that on the call and not send an invoice.
Three steps to get started
You can stop after any of them, and you keep everything built so far.
Audit
I sit with you for an hour, map every manual step you're doing, and put a number on what each one costs per month. You get a written map of your operation and a costed, prioritised list of what to automate first.
One week · fixed price · yours whether or not we continue
Build
I build the workflows on your server or mine. You watch them run against real data before anything replaces a process you depend on. Nothing goes live until you've seen it work.
Two to six weeks · scoped from the audit · fixed price per workflow
Run
Automations break when the tools around them change — an API deprecates, a field gets renamed. Monitoring catches it and alerts me. If something fails at 2am, I know before you do, and most of the time it's fixed before you'd have noticed.
Monthly · cancel any time · includes changes and new workflows
Things I've automated
Concrete, not categories. If yours isn't here it's probably still a fit.
Pricing
The audit is fixed and cheap on purpose. It is the only way either of us can scope the rest honestly.
Audit
$500
A written map of every manual process you run, with hours and cost attached, and a prioritised list of what to fix first.
- One-hour working session with you
- Process map and costed inventory
- Prioritised automation plan
- Fixed scope, delivered in one week
- Credited in full against your first build
Build
from $2,500
Scoped from the audit and quoted per workflow, so you approve each piece before it is built.
- Fixed price per workflow, never hourly
- Built and tested against your real data
- Documented and handed over in plain language
- Hosted on your server or mine
- Yours outright, with no proprietary layer
Managed
from $750/mo
Monitoring, fixes and new workflows as your operation changes. For anyone whose automations now matter.
- Failure alerting and first-line fixes
- Hosting and version upgrades handled
- Changes and small builds included
- Quarterly review of what else to automate
- Cancel any time, keep everything
Every stage is a stopping point. No lock-in, no minimum term, and the workflows stay yours whatever happens.
Who this is not for
Genuinely. If you are one of these, an audit would waste your money.
- You need one simple two-step automation. Set up a Zap yourself and keep the money.
- Your processes change every week and nobody can say how they run today.
- You want a person to do the admin. Automation is not a substitute for a hire you actually need.
- Your tools have no API and you are not willing to change any of them.
- You are looking for the cheapest possible quote rather than the thing that works.
- You need someone on site. This works remotely, and I will say so up front.
Reasonable questions
The six I get asked before every audit.
Why n8n rather than Zapier or Make?
Three reasons that matter in practice. It can be self-hosted, so you are not paying per task and volume stops being a cost problem. It handles real logic — rules, loops, error handling, retries — rather than a straight line of steps. And because it runs on your own server, your customer data never has to sit on a third party's servers. Zapier is genuinely better for simple two-step automations, and I will tell you if that is all you need.
Do I need to understand n8n to work with you?
No. You need to understand your own operation, which you already do. I document everything in plain language and hand over workflows you can read. If you want to learn enough to make small changes yourself, I will teach you that as part of the handover — it is usually a good idea, and it does not cost extra.
What happens when something breaks?
It will, eventually — not because the workflow is wrong, but because the tools around it change. An API gets deprecated, a field is renamed, a login expires. Every workflow I build has error handling and alerting on it from day one. On a managed plan I get the alert and usually fix it before you notice. Without one, you get the alert and can call me.
Will this work with the tools I already use?
Almost certainly. n8n has 400+ built-in integrations covering the usual stack — HubSpot, Pipedrive, Google Workspace, Microsoft 365, Stripe, Xero, QuickBooks, Slack, Twilio and so on. Anything outside that list can be connected if it has an API, and most things do. Bring me your list and I will tell you straight if something is a problem.
What if I want to stop working with you?
You keep everything. The workflows are yours, they run on a server you can take over, and they are documented well enough for someone else to maintain. There is no proprietary layer and nothing that stops working when I do. A retainer you cannot leave is not a service, it is a hostage situation.
How long until it is actually running?
The audit takes a week. A first workflow is usually live within two weeks of that — often sooner if it is well defined, like speed-to-lead. A full build across several processes runs four to six weeks. You will see things working as they are finished rather than waiting for one big switch-on at the end.
Who you would actually be working with
I'm Daniel Casarez. I build and maintain every workflow personally. There is no account manager, no offshore team, and no ticket queue. That is the deliberate limit on how many builds run at once, and the reason the audit exists: I would rather tell you an automation is not worth doing than sell you one that is not.
Tell me what you're doing by hand
One or two sentences is enough. I'll reply with whether it's worth automating and roughly what it would take — whether or not you book anything.
